Privacy Policy

1. Introduction

PlayMaker AI (“we,” “our,” or “us”) is operated by Clarkstone Ventures. We are committed to protecting the privacy of our users (“you” or “your”). This Privacy Policy explains how we collect, use, store, and share your information when you use our web application and services at playmakerai.io (the “Service”).

By using PlayMaker AI, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use our Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and profile information through our authentication provider (Clerk). This information is necessary to provide you with access to the Service.

2.2 Athlete Profile Data

You may voluntarily provide athletic profile information including your sport, position, academic details, statistics, highlight film, and recruiting preferences. This information is used to build your recruiting profile, generate AI recruiting plans, and facilitate outreach to college coaches. Your public profile and film pages are viewable by anyone who receives your profile link — share those links thoughtfully.

2.3 Recruiting Email Address and Correspondence

The Service assigns you a dedicated recruiting email address on our sending domain (e.g., first.last@mystudentemail.com). Emails you send through the Service and coach replies delivered to that address are processed by our email infrastructure provider (SendGrid) and stored within the Service so your recruiting conversations, campaign history, and engagement tracking work in one place. This stored correspondence is visible to you and to anyone you grant shared access to your account (Section 6).

2.4 Coach and School Data

The Service allows you to research and store information about college coaches and schools, including publicly available contact information, for the purpose of recruiting outreach. This data is sourced from publicly available directories, AI-assisted research of public sources, and your own research.

2.5 Engagement Tracking Data

Emails sent through the Service include an open-tracking pixel, and profile/film links in those emails are routed through tracking redirects. This lets us show you when a coach opens your email, clicks your links, views your profile, and how much of your film they watch. This tracking data is collected from recipients of your outreach and is used solely to power your recruiting analytics.

2.6 Highlight Film

Highlight videos you upload are hosted on our storage provider (Vercel) and served from your public film page.

2.7 Usage Data

We automatically collect certain information about how you interact with the Service, including pages visited, features used, and engagement metrics. This helps us improve the Service and provide you with relevant insights.

2.8 Payment Information

Payment processing is handled by Stripe. We do not store your full credit card number, CVV, or expiration date. We only retain a Stripe customer identifier and transaction references necessary to manage your purchase and any Boost credit orders.

3. Google User Data — Gmail Integration

PlayMaker AI offers an optional Gmail integration that allows you to send your first-touch recruiting emails to college coaches from your own Gmail address. This section specifically describes how we handle data obtained through Google APIs.

3.1 What Google Data We Access

When you connect your Gmail account, we request access to the following scopes only:

  • Gmail Send (gmail.send) — To send recruiting emails that you compose or approve, on your behalf, from your real email address.
  • User Email (userinfo.email) — To identify which Gmail account is connected and display it in your settings.

We do not request or use any Gmail read scopes. We cannot see your inbox. Coach replies are received through your PlayMaker recruiting address (Section 2.3), not by reading your Gmail.

3.2 How We Use Google Data

Google user data is used exclusively for the following purposes:

  • Sending recruiting emails that you compose or approve through the PlayMaker AI outreach system, with replies directed to your PlayMaker recruiting address.
  • Displaying your connected email address in the Settings page.

We do not use Google user data for advertising, market research, or any purpose unrelated to the core recruiting functionality described above.

3.3 How We Store Google Data

We store your Gmail OAuth refresh token in our secure database, encrypted at rest, solely to maintain your Gmail connection and send emails on your behalf. Copies of emails sent through the Service are stored in your PlayMaker conversation history (Section 2.3); we do not access or store any other content from your Gmail account.

3.4 How We Share Google Data

We do not share, sell, rent, or transfer Google user data to any third parties, except:

  • When required by law, regulation, or legal process.
  • To protect the rights, safety, or property of PlayMaker AI, our users, or the public.

3.5 Revoking Access

You can disconnect your Gmail account at any time from the Settings page within PlayMaker AI. Upon disconnection, we delete your stored OAuth tokens. You can also revoke access directly from your Google Account permissions page.

3.6 Compliance

PlayMaker AI’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. AI Processing

Features such as the A.I. Gameplan, Brand Audit, coach and school research, and event search send relevant portions of your profile data to our AI providers (including Anthropic and web-search AI services) to generate results. These providers process the data to provide the feature and are not permitted to use it to train their models under our agreements with them. Results of shared research (for example, a school’s coaching staff) may be cached and served to other users; cached research never includes your personal data.

Bring-your-own-AI connections.You may optionally connect your own AI assistant (for example Claude or ChatGPT) to your account through a personal connection URL. Any AI you connect can read your recruiting data and take the actions you permit — including, only if you enable it, sending email to coaches on your behalf (rate-limited). Data accessed by an AI you connect is governed by that provider’s privacy terms, not ours. Treat your connection URL like a password; you can revoke it at any time in Settings.

5. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, maintain, and improve the Service.
  • To build and manage your athlete recruiting profile, film page, and public profile.
  • To send and receive recruiting email through your PlayMaker recruiting address and, if connected, your Gmail.
  • To track coach engagement (opens, clicks, profile views, film watches) and update your recruiting pipeline.
  • To generate AI-powered recruiting game plans, audits, and research.
  • To process payments and manage your access and Boost credits.
  • To send you important service-related communications.
  • To provide customer support.

6. Shared Family Access

You (or your parent/guardian) may invite family members, mentors, or coaches to your account with either Admin access (can act with your authority in the workspace) or Viewer access (read-only). Invited users can see your recruiting data, including stored correspondence. The account owner can change or revoke access at any time from Settings. One login may also hold access to multiple athlete workspaces (for example, a parent with two athletes); each workspace’s data stays separate and is visible only to logins granted access to it.

7. Data Security

We implement industry-standard security measures to protect your personal information, including encrypted data transmission (HTTPS/TLS), encrypted storage for sensitive credentials (OAuth tokens), and secure authentication practices. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your account and profile data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes. Gmail OAuth tokens are deleted upon disconnection of your Gmail account.

9. Third-Party Services

PlayMaker AI relies on the following service providers:

  • Clerk — Authentication and account management.
  • Stripe— Payment processing. Stripe’s privacy policy governs their handling of your payment data.
  • SendGrid (Twilio) — Delivery and receipt of recruiting email on our sending domain.
  • Google Gmail API — Optional send-only integration (Section 3).
  • Vercel — Application hosting and highlight film storage.
  • Neon — Database hosting.
  • AI providers (including Anthropic) — AI generation and research (Section 4).

Each third-party service operates under its own privacy policy. We encourage you to review their policies.

10. Children’s Privacy

PlayMaker AI is designed for use by student-athletes and their families. Users under the age of 13 must have a parent or guardian create and manage their account. We do not knowingly collect personal information from children under 13 without parental consent. If you believe we have collected information from a child under 13 without proper consent, please contact us immediately.

11. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — Request a copy of the personal data we hold about you.
  • Correction — Request correction of inaccurate personal data.
  • Deletion — Request deletion of your personal data and account.
  • Data Portability — Request your data in a portable format.
  • Revoke Consent — Withdraw consent for specific data processing (e.g., disconnect Gmail, revoke shared access).

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the “Last updated” date. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
